Buying Heritage Cirqa - which of our options works for you?

Price iconThe balance between charging a fair price and delivering a good service is one that some companies get wrong. Whilst the initial costs can be attractive, a business model based on volume sales at low cost will, inevitably, result in a less satisfactory customer experience later. We have a long history of stable and fair pricing and our business model is tried and tested. If you choose Heritage Cirqa you can be confident that your budget will be safe from inflation-busting price increases or upgrade costs for many years to come.

There are four ways to purchase Heritage Cirqa:

Buy now

When implementing Heritage Cirqa under this scheme you are purchasing our software, user licences and one-off services such as training and/or data conversion, as well as the first year of annual support and, if you opt for the service, hosting. After the first year the only ongoing costs are for our annual support service and any optional extras such as hosting or the MyCirqa app. This allows you to minimise costs to the school in future years as you own all the software and licences outright and your annual support fee includes free upgrades. Ongoing annual fees under this scheme start at just £470 plus VAT.

Buy now, pay later

If you urgently need a new library management system, but don't have the budget to make the change this year, then Heritage Cirqa is available under an interest-free 'buy now pay later' arrangement. You can spread the initial purchase cost over the first two or three years, therefore reducing the impact on your school budget. This scheme is not financed by an external credit agency - the sort that got our economy into trouble in recent times - but from our strong financial position.

New for 2018 - Pay as You Go (PAYG)

We are now offering you the opportunity to pay a regular annual fee to use Heritage Cirqa, rather than paying for the software outright. Schools who are happy to host the software themselves will pay £990 plus VAT per year. This covers a standard implementation of Heritage Cirqa with a selection of the most popular modules for schools, including Cataloguing, Circulation, Enquiry, Stocktaking, Reporting, automatic Event Scheduling (to automate the sending of overdue notices and reports), Reader import, Quickcat Online and the MyCirqa app, plus our annual support service and free upgrades.

In the first year you will also require our Implementation service, which includes some training, remote system installation and configuration (e.g. circulation rule setup and overdues) so that the software is ready to use immediately. You may also opt for a data conversion from your previous system – we realise many years of time and money have been invested in the creation of your data and our experienced team will give you the best catalogue upon which to build. There are also a selection of optional modules which can be purchased – we would be happy to discuss these with you in order to give a free, no obligation quotation.

New for 2018 - Software as a Service (SaaS)

Schools wishing to take advantage of our fully managed hosting service can now purchase Heritage Cirqa under a SaaS scheme and pay £1,590 plus VAT a year for the first two years of the contract. This covers a standard implementation of Heritage Cirqa with a selection of the most popular modules for schools, including Cataloguing, Circulation, Enquiry, Stocktaking, Reporting, automatic Event Scheduling (to automate the sending of overdue notices and reports), Reader import, Quickcat Online and the MyCirqa app, plus our annual support service and free upgrades.

This price is an introductory offer and from year 3 onwards the price will increase to £1,690 plus VAT per annum. We have a long history of stable pricing and have no further planned increases in the foreseeable future.

As with the PAYG option, in the first year you will also require our Implementation service, which includes some training, hosted server set-up and system configuration (e.g. circulation rule setup and overdues) so that the software is ready to use immediately. You may also opt for a data conversion from your previous system and one or more of our optional modules, depending on your specific requirement.

Making the Case for Heritage Cirqa to your Manager

We know that no matter how suitable Heritage Cirqa might be for your library, those holding the purse strings have the final say. Our salespeople are very happy to give you a guide price for the system upon request, then if you are interested in looking closer they will give you a demonstration of the system and show you what your quotation includes.

Once you have decided that Heritage Cirqa is the system for you, it may then be necessary to go and persuade a manager why it should be this particular system versus others on the market. We produce an information sheet which sets out many of the arguments for you and which you can either use as a prompt or pass on to your manager. Switching to Heritage Cirqa with your current data

If you already have a library management system at your school the chances are you have already invested considerable time in creating and maintaining your library catalogue. If you are happy that your data is accurate and consistent then it is highly likely that you will wish to transfer it to your new system. Our data conversion team are very experienced in the process. Even prior to purchase we can analyse your data to provide a firm quotation for the conversion, during which we will do our best to tidy up any errors and inconsistencies in order to give you the best catalogue upon which to build. Our conversion process is undertaken in two steps: we first perform a trial conversion so that you can review your data in the Heritage Cirqa forms and ensure that you are happy that everything is as it should be. Changes can be requested at this point. The second stage is undertaken just before you go live, with a fresh copy of your data so that items on loan in your previous system will be on loan in Heritage Cirqa, to the same readers with the same due dates.

If you decide that you do not trust your current data and you’d rather start again from scratch, then you can save the cost of the conversion and instead catalogue your stock quickly and easily using our Quickcat Online module. This obviously requires a greater investment in your time than a data conversion, but if your present data is the result of many years of inputting by many different staff you might relish the prospect of a shiny new catalogue that is exactly as you want it!
